Terms of Hire
The terms that apply when you book studio space, equipment or services at Lake District Film Studios.
About these terms
These terms apply to every booking of studio space, equipment and services at Lake District Film Studios. Lake District Film Studios is a trading name of NEXI Media Ltd, registered in Scotland, company no. SC749267. In these terms, “we” and “us” means NEXI Media Ltd, and “you” means the person or organisation making the booking.
By paying for a booking you confirm that you have read and accept these terms, and that you have authority to accept them for anyone you are booking on behalf of.
Booking and payment
All bookings are paid in advance. A date is only held once we have received payment.
- Full day, half day, podcast and photography bookings are paid in full at the time of booking.
- Full studio and multi-day bookings need a 50% payment at the time of booking, with the balance due 7 days before your first hire date. Bookings made less than 7 days ahead are paid in full at the time of booking. If the balance is not paid on time, we may treat the booking as cancelled by you.
NEXI Media Ltd is not VAT registered, so the prices on our website are the full price with no VAT to add. If that changes, we will tell you before you book, and VAT will not be added to bookings already paid for.
Kit packages, crewing and any other extras are quoted to the job and form part of your booking once confirmed.
Your booked time
A full day is 10 hours and a half day is 4 hours. Podcast and photography sessions run for the length booked. Your booked time includes arrival, load-in, set-up, strike and load-out, so please plan for the space to be clear and returned as you found it by the end of your booking.
If you need to stay longer, overtime is charged in 30-minute blocks at one and a half times the hourly equivalent of your booking rate, subject to availability. Late arrival does not extend a booking.
Cancelling or changing a booking
Please tell us about any cancellation or change in writing, by email to studio@lakedistrictfilmstudios.com. Notice periods are counted back from the start of your first booked day or session.
Full day, half day, full studio and multi-day bookings
- 14 days’ notice or more: full refund.
- 7 to 13 days’ notice: we keep 50% of the total booking fee and refund anything paid above that.
- Less than 7 days’ notice: no refund.
Podcast and photography sessions
- 48 hours’ notice or more: full refund.
- Less than 48 hours’ notice: no refund.
Moving your date. You can move a booking once, free of charge, with at least 7 days’ notice (48 hours for podcast and photography sessions), subject to availability. Later changes, or a second change, are treated as a cancellation.
No-shows. If you do not arrive for your booking, no refund is due.
Refunds are made to the original payment method within 14 days.
If we have to cancel
If we have to cancel your booking for a reason within our control, such as an equipment or building problem, you can choose a full refund or a free rebooking.
If your booking cannot go ahead because of something outside anyone’s control, such as severe weather, a power cut or loss of access to the Crofton Hall estate, we will give you a credit for the full amount paid, to use on a new booking within 6 months of the original date.
In either case, our liability to you is limited to the amount you paid for the booking.
Insurance
For full day, half day, full studio and multi-day bookings, you must hold public liability insurance of at least £5 million covering your activity at the studio, and send us a copy of the certificate before your booking starts. We recommend you also insure your own equipment.
Public liability insurance is not required for podcast and photography sessions, but you remain responsible for your own belongings and for any damage described below.
Looking after the studio
You are responsible for any loss of or damage to the studio, sets and equipment caused during your booking by you, your crew, cast, guests or animals. We will invoice the reasonable cost of repair, cleaning or replacement after your booking, payable within 14 days.
- Green screen cove. No street shoes on the cove; use shoe covers or socks. If the cove is marked, damaged or painted, a repaint charge applies.
- Paper backgrounds. Paper that is walked on, marked or torn is charged per metre used.
- Kit packages and studio equipment are your responsibility from when you receive them until they are returned. Please report any fault straight away and do not attempt repairs.
- No fixings, tape residue, paint or adhesives on walls, floors or sets without our agreement.
Please let us know about any damage before you leave.
Health and safety
You are responsible for the safe running of your production, including any risk assessment your activity needs. Please follow our site briefing and fire procedures, and keep fire exits and walkways clear.
- No smoke, haze, pyrotechnics, naked flames or open-flame props without our written consent, because of the building’s fire alarm system.
- The number of people on site must not exceed the number agreed when you book.
- Children taking part must be accompanied by a responsible adult at all times, and you are responsible for any performance licences or chaperones the law requires.
- Any electrical equipment you bring must be in safe working order.
- No smoking or vaping inside the building.
House rules
- Food and drink are welcome in the studios, but not on the cove, on paper backgrounds or near equipment and sets.
- Alcohol may not be brought onto or consumed in the studio.
- Dogs and other pets are welcome. Please tell us when you book, keep them under control, keep them off the cove and backgrounds, and clear up after them. You are responsible for any mess or damage they cause.
- The Crofton Hall estate is shared with a cafe and a motorhome and caravan park. Please park in the marked areas, keep noise outside considerate, and stay within the studio and its grounds.
Crew and producers
Where a podcast booking includes one of our producers, they operate our equipment for the session. Crew sourced through our crewing service are engaged on the terms set out in your quote.
Your content
You own everything you record or photograph at the studio. We claim no rights in it.
We may photograph studio set-ups for our own marketing only with your consent, and never anything you have told us is confidential. We keep the details of your production confidential.
Our liability
We are not responsible for loss of or damage to your property unless it is caused by our negligence. We are not liable for indirect or consequential loss, including loss of profit, loss of opportunity or the cost of reshoots. Our total liability for any booking is limited to the amount paid for it.
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law. If you book as a private individual rather than for business, nothing in these terms affects your statutory rights as a consumer.
Changes and governing law
We may update these terms from time to time. The version on this page when you book applies to your booking.
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
